Privacy Policy

ExpeditionHQ (“ExpeditionHQ”, “we”, “us”) provides booking and operations software for helicopter tour operators. This policy explains what personal information we collect through this website and our platform, why we collect it, and the choices you have. We are based in Canada and handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial legislation.

Information we collect

  • Information you give us. When you request a demo, email us, or subscribe to updates, we collect the details you provide — typically your name, business name, email address, phone number and information about your operation.
  • Customer data in the platform. If your business uses ExpeditionHQ, the platform stores booking and operational records you enter, which may include your customers’ names, contact details and passenger information such as weights recorded for load planning. We process this data on your behalf as a service provider; you remain responsible for it as the controlling organization.
  • Technical and usage information. Like most websites, we automatically receive IP address, browser and device type, referring pages, and pages viewed. This site uses Jetpack Stats for aggregate traffic measurement and Cloudflare for content delivery and security.
  • Cookies. We use cookies and similar technologies for essential site function, security, and aggregate analytics. You can block or delete cookies in your browser settings, though some parts of the site may not work as intended.

How we use it

We use personal information to respond to your enquiries and arrange demonstrations, to provide, operate and support the platform, to send service and account communications, to improve our product and website, to detect and prevent fraud and abuse, and to meet our legal and accounting obligations. We do not sell personal information. We do not use customer booking data to train third-party AI models.

Service providers and disclosure

We rely on third parties to run our website and platform, including hosting and content delivery providers, email delivery services, spam filtering, and payment processors used by your business. These providers may process information outside Canada, including in the United States, where it may be subject to the laws of that jurisdiction. We share personal information only as needed to deliver the service, with your consent, or where required by law or to protect legal rights.

Retention, security and your rights

We keep personal information only as long as needed for the purposes described here or as required by law, and we apply reasonable technical and organizational safeguards to protect it. No system is completely secure, but we work to limit access to those who need it. You may request access to the personal information we hold about you, ask us to correct it, withdraw consent, or ask us to delete it, subject to legal and contractual limits. If your information sits in an operator’s ExpeditionHQ account, we will direct your request to that operator. To make a request or raise a concern, email [email protected]. If you are not satisfied with our response you may contact the Office of the Privacy Commissioner of Canada.

Changes to this policy
