Private Helicopter Flights
Priced Right, Every Time.

A group of two booking a private flight should not cost you a five-seat departure. ExpeditionHQ applies your private flight minimum automatically, so the aircraft always earns its floor.

The aircraft should always earn its floor.

Private groups are some of your best revenue, and the easiest to underprice when someone does the math at the counter. ExpeditionHQ builds the private flight fee into every tour, so staff and your online booking form charge the same correct price. It is part of our helicopter tour operator software, included for $500/mo plus 1% of online sales. Private flights block seats on the same helicopter schedule your staff use, and your online booking form charges the same price.

How private flight pricing works in ExpeditionHQ

Floor-fee math

The private flight fee tops up the per-person price only as far as your minimum. If the group already covers it, the fee drops to zero.

The aircraft is held

A private flight blocks the seats on that departure, so nobody else can be sold onto it by staff or online.

Seasonal pricing

Weekday, weekend, peak and off-season rates by date range, locked to the order when it is created. Raising rates never changes past orders.

Add-ons on the booking

Sell tour add-ons and merchandise on the same order, each with its own taxes and revenue category.

A worked example.

Your private flight minimum is $2,150 and the per-person price is $430. Four guests book privately: $1,720 in per-person pricing, so ExpeditionHQ adds a $430 private flight fee and the flight earns $2,150 before tax. Five guests at $430 cover the minimum on their own, so no fee is added.

Private flight questions, answered

The private flight fee drops to zero. It only tops up the per-person total to your minimum, never beyond it.
